Submission Procedure

The procedure that follows is to define the process by which Principal
Investigators (PI) give final approval to the form and content of proposals
before submission to the funding agency. The PI, or designee, is to
approve or waive approval in writing for each final proposal document
before the proposal is reproduced and submitted to the funding agency.
When a proposal is in its final form, a pre-award staff member notifies
the
PI that the proposal is ready for review. The PI, or designee, comes
to
the Research Foundation to review and approve the final form of the
proposal. The PI signs the Proposal Transmittal Form in block 1 beside
their name. This signature is acknowledgement that the proposal is
complete and ready for submission.
The PI
may decline this opportunity for proposal review. To do so, the PI
must provide written confirmation to the Research Foundation waiving
final
review. Such confirmation may be via email.
Once the
proposal has been approved by the PI or designee, or the PI has
waived final review, the Research Foundation will arrange for the proposal
to be copied, distributed internally and submitted to the funding agency.
Keep this additional step in mind when planning proposal submissions.
It is
strongly recommended that PI review be completed no later than 4:00
p.m. on the day before the proposal is to be sent to the funding agency
or
submitted electronically. For example, if a proposal must be received
by
the funding agency on Wednesday, it would be sent via overnight delivery
on
Tuesday. Consequently, to allow time for reproduction and checking the
copies, the PI or designee would approve the proposal on Monday. The
Research Foundation cannot guarantee late proposals will be processed
in
time to meet the sponsors deadline.
